Privacy Policy
This policy explains what data JARVIS (the Discord bot, its dashboard at jarvis.zeno-innovations.com and its website) collects, why, who helps us process it, how long we keep it and what you can do about it.
01Who we are
JARVIS is made and run by Zeno Innovations, a Dutch sole proprietorship owned by Waseem Idoe. We are the controller of the data described here. Contact: support@zeno-innovations.com or our support server.
Server owners and admins decide which JARVIS features run in their server. For data about members that a server collects through JARVIS (for example ticket answers or applications), the server's admins are responsible for how they use it.
02What we collect
Discord basics: user IDs, usernames, display names and avatars; server IDs, names, roles and channels. Discord shares these with every bot.
Messages, only when needed: JARVIS reads messages to answer you when you mention it, DM it or use a command, and in features a server turns on (AutoMod, scam filter, auto FAQ, auto-translate, AI tickets, leveling, analytics). It does not keep a copy of every message.
Chat memory: when memory is on, JARVIS keeps your recent messages with it (up to the last 20 or 40 per channel, each cut to 500 characters) so conversations make sense.
Server settings: everything you set in the dashboard or with commands, including any server knowledge text you write.
Feature data: warnings, staff notes, levels and XP, invite counts, giveaways and polls, reminders, birthdays, AFK status, time zones, game scores, reviews and feedback you send.
Tickets and applications: what members write in ticket forms and applications is posted in your server. JARVIS reads the ticket conversation to triage, answer and summarize it, and reads applications to score them.
Analytics: daily counts per server (messages, joins, leaves, commands) and per channel and member message counts.
Voice: when the voice assistant is on, what is said in that voice channel is turned into text to answer it. The audio is not saved.
Dashboard login: when you log in with Discord we receive your user info and the list of servers you are in, and keep a login session.
Payments: payments are handled by Stripe. We never see or store your card details; we store which server has which plan and the Stripe customer and subscription IDs.
Website visits: anonymous page-view statistics on the dashboard (Vercel Analytics, without cookies).
03Why we use it
To run the features you or your server use, keep JARVIS safe from abuse and spam, handle payments and Premium, answer support requests and improve JARVIS. We rely on providing the service you asked for (contract), our legitimate interest in running and protecting JARVIS, and our legal obligations (for example bookkeeping for payments).
We do not sell your data and do not use it for advertising.
04AI processing
AI features send the needed text (and for some features images or speech) to an AI model to get a reply. JARVIS mainly uses an AI model that Zeno Innovations runs on its own hardware. When that is unavailable, and for image questions, voice transcription and some dashboard tools, the text goes to Groq. Image generation uses Cloudflare Workers AI, and the optional AI moderation filter uses the OpenAI moderation service.
Some features act automatically, for example scam removal, raid protection, warning limits and auto accept or deny of applications. Server admins choose to turn these on and can always undo an action. If an automatic decision affected you, contact the server's staff or us.
05Who processes data for us
Discord (the platform itself), Upstash (database), Vercel (website and dashboard hosting), Cloudflare (DNS, image generation), Groq, OpenAI (AI, see above), Stripe (payments), Cloudinary (images you upload in the dashboard), Google, YouTube and Twitch (public channel info for social alerts) and top.gg (votes).
Some of these companies are outside the EU. Where that is the case, they use safeguards such as the EU Standard Contractual Clauses.
06How long we keep it
Dashboard logins: 7 days. Analytics: 95 days. Staff activity stats: 21 days. Chat memory: until it is cleared or replaced by newer messages. Server settings and feature data: as long as JARVIS is used in that server, or until you ask us to delete them. Payment records: as long as Dutch tax law requires (7 years).
07Your rights
You can ask us for a copy of your data, to correct it, to delete it, to limit or object to how we use it, or to receive it in a portable format. Email support@zeno-innovations.com with your Discord user ID and we will reply within 30 days. You can also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Server admins can remove their server's settings by turning features off in the dashboard, and can ask us to delete all data for their server.
08Children
You must be old enough to use Discord in your country to use JARVIS. If you believe a child gave us data they should not have, contact us and we will delete it.
09Security
Data is sent over encrypted connections, access is limited to what each part of JARVIS needs, and dashboard actions check that you have Manage Server permission in that server. No system is perfectly secure, so please report anything suspicious to us.
10Changes
We update this policy when JARVIS changes. The date at the top shows the latest version. For big changes we post a notice in the dashboard or our support server.
